A Kroll survey of 177 email administrators who manage 250 or more mailboxes revealed:

  • 37% of companies store email only on the server.
  • 72% of companies have established mailbox quotas.
  • 25% of companies require that employees delete email when they reach a full quota.

Storing email only on servers puts storage space at a premium so many companies are setting mailbox size limits. These limits force employees into deleting a great deal of email, despite being vital to their work.

However, because employees delete email that they need for their work, they make a greater number of requests to the IT department to restore their email—which in many cases is only stored as backups. So while storing email on the server and setting mailbox size limits may solve the storage management needs of IT, it creates a conflict with the business needs of employees, thereby creating demand for restoring messages from backup.

For example, consider a situation where an employee deleted a string of messages that they now need to complete an important project. All of these messages were on one Exchange server, but stored in multiple Exchange Database backup files (EDBs) of that server.

If the Exchange administrator would like to get a view of the all pertinent Exchange server backups to find every needed message, without powerful searching tools they usually would have to do individual searches through each EDB backup. Using the content analysis capabilities of Ontrack PowerControls, the administrator can create a single Content Analysis Store containing the multiple EDBs. This saves a great deal of time and allows the user to get their deleted messages back faster.
